Job Summary We are looking for 1 full-time Hospital Administrative Assistant to join the team at Glendora Hospital.
The Administrative Assistant will courteously and effectively answer all direct telephone calls and perform assigned secretarial and clerical tasks direct to the Hospital Administrator/CEO.
The Administrative Assistant is the primary point of contact for internal and external customers pertaining to Administration and works directly with the Administrator/CEO by providing executive support.
Hospital setting experience highly preferred.
Job Duties Builds relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact.
Demonstrates the ability to critically think through processes, make independent decisions and ask questions when needed.
There will be daily data entry.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Administrator, including those of a sensitive or confidential nature.
Determines appropriate course of action, referral, or response.
Works closely and effectively with the Administrator to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
Acts as a barometer, having a sense for the issues taking place in the environment and keeping everyone updated.
Manages the preparations for all meetings and events for the administrative team, including sending invites, setting up the room, taking minutes, and making copies.
Manages the policies on the shared drive, ensuring they are updated with the correct dates after each board meeting.
Assists with survey prep, making rounds and expands knowledge base of survey processes.
Provides a bridge for smooth communication between the Administrator and Hospital departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Demonstrates a timely and dependable attitude in all aspects of work assignments; meets deadline for assigned projects.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Accurately collects data, ability to understand PI and how to gather and produce reports.
Accurately distributes incoming and outgoing mail and telephone calls.
Completes all tasks assigned accurately, within predetermined timeframe and with minimal supervision and helps others as needed.
Placement in the pay range is based on multiple factors including, but not limited to, relevant years of experience and qualifications.
In addition to base pay, there may be additional compensation available for CHLB/Glendora Hospital roles, including but not limited to shift differential and other special pay practices, etc.
The posted compensation for the position is a reasonable estimate that extends from the lowest to the highest pay that CHLB/Glendora Hospital in good faith believes it might pay for this particular job, based on the circumstances at the time of posting.
